Job Description
Primary Purpose:
Register new students and maintain student records and to facilitate the efficient operation of student attendance reporting
Education/Certification:
High School diploma or GED.
Special Knowledge/Skills:
- Ability to work well with parents, students, and the general public
- Ability to use personal computer and software to develop spreadsheets, databases, and do word processing
- Proficient typing, keyboarding, and file maintenance skills
- Effective organizational, communication, and interpersonal skills
- Knowledge of basic accounting principles skills
- Professional telephone demeanor
- Exceptional customer service skills
Minimum Experience:
One to three years of secretarial experience, preferably in public education environment
Essential Job Functions:
- Register incoming students and schedule students in classes.
- Change student schedules when necessary.
- Adjust class enrollment levels as needed.
- Prepare and send out failure letters during the summer.
- Record student information including test scores and final grades on permanent records.
- Coordinate grade reporting process, including verification and correction of grades. Prepare and distribute report cards and progress reports.
- Complete record requests.
- Compile, maintain, and file all reports, records and other documentation.
- Prepare and distribute student identification cards and bus passes.
- Report attendance information as required.
- Verify student attendance zones.
- Assist with entering new students in the computer system, transfer students from school to school.
- Maintain daily attendance records, enter daily absences, print daily absences, resolve daily absences and enter unexcused absences.
- Encourage students to bring written validation for excused absence within a three-day period.
- Compile weekly, six-week, and semester reports of school attendance and verify the information.
- Print student’s information (i.e., homeroom lists, class rolls, special populations, etc.) for school personnel when requested.
- Be responsible for the integrity of data.
- Display confidentiality, punctuality, congeniality, dependability and efficiency.
- Attend training as requested.
- Assist clerical staff in various areas as needed.
- Answer incoming calls, take reliable messages, and route to appropriate staff
- Perform other duties as assigned by the supervisor or other administrator that are consistent with the general requirements and qualifications for the position.
