Job Description

Primary Purpose:Ensure efficient operation of the food service office, process meal applications, and provide clerical services for school’s administrative staff. Qualifications:Education/Certification:High school diploma or GEDValid Texas driver’s license Special Knowledge/Skills:Knowledge of general office proceduresKnowledge of basic accounting principlesProficient keyboarding and file maintenance skillsAbility to use software to develop spreadsheets and databases, and do word processingAbility to follow verbal and written instructionsAbility to perform a variety of tasks often changing assignment on short notice with some directionAbility to prioritize workflow to address the multiple needs of the supervisor or the departmentAbility to multi-task numerous complex administrative activitiesEffective organizational, communication, and interpersonal skills Experience:Two (2) years secretarial experience Major Responsibilities and Duties:Process and maintain meal applications according to the USDA rules and regulations and local policies and procedures.Maintain confidentiality of all students, staff, and other District information.Review daily deposits with cash transactions records and process according to district policy.Prepare written correspondence, forms, schedules, or reports using personal computer.Prepare meeting agendas, and department communication as requested.Maintain and track professional development training hours according to the USDA rules and regulations.Monitor and process personnel time records including leave requests and reports for Director’s approval.Maintain the department’s website.Schedule meetings and appointments and maintain calendar for Director.Assist food service staff and parents as needed.Receive incoming calls, take reliable and accurate messages, and route to appropriate staff.Communicate to households account balances.Maintain physical and computerized files including meal applications, and office communication.Update handbooks, policy manuals, and other documents as assigned.Perform routine bookkeeping tasks and maintain department’s budget records.Prepare and process purchase orders.Review vendor statements and invoices for accuracy.Receive, store, and issue supplies and equipment.Prepare and make cash deposits for patrons and catering account(s).Assist with coordination of faculty meetings and department activities.Maintain inventory of fixed assets, equipment, and supplies.Assist with district wide nutritional education.Develop marketing flyers and advertisement.Assist food service staff with the point of sales software.Prepare catering invoices.Maintain office machinery (copiers, poster machine, laminator) and order supplies.Maintain consistent punctuality and regular attendance.Maintain positive community relations by establishing positive rapport with students and parents.Attend and participate in faculty meetings, staff development and serve on staff committees as required.The foregoing statements describe the general purpose and responsibilities assigned to this job and are not an exhaustive list of all responsibilities, duties, and skills required.
