Job Title:  District Receptionist

Department/Campus:  Central Office

Wage Status:  Non-Exempt

 

Primary Purpose:

Provide reception and clerical assistance for the efficient operation of the campus office under the direct supervision of the superintendent.

 

Education/Certification:

High school diploma or GED

 

Special Knowledge/Skills:

  • Proficient typing, word processing, and file maintenance skills
  • Effective organizational, communication, and interpersonal skills
  • Ability to follow written instructions
  • Ability to operate multi-line phone system

Minimum Experience:

One year clerical experience in office setting

 

Essential Job Functions:

  • Receive and direct incoming calls, take reliable messages, and route to appropriate staff.
  • Greet and direct visitors.
  • Receive, sort, and distribute mail, messages, documents, and other deliveries.
  • Assist with the receipt and distribution of materials
  • Maintain visitor log and issue visitor passes.
  • Assist with preparation of materials for mailing, including preparing labels, stuffing envelopes, etc.
  • Maintain computerized files using personal computer, including reports, employee roster, and mailing lists.
  • Provide clerical assistance as needed.
  • Maintain confidentiality.
  • Report to work in a timely manner according to assigned schedule.
  • Perform other duties as assigned by the superintendent that are consistent with the general requirements and qualifications for the position.

Personal computer, printer, copier, fax machine, shredder, calculator, electronic mobile devices, and multi-line phone system

Physical Demands/Mental Demands/Environmental Factors:

 Regularly sit, talk or hear; frequently required to use hands to finger, handle, or feel; frequent repetitive hand motions; prolonged use of computer; occasionally lift and/or move up to 50 pounds; occasionally required to stand, walk reach with hands and arms; vision abilities include close vision; and color vision, regularly work with frequent interruptions, maintain emotional control under stress; the noise level is usually moderate. The employee may spend long hours in intense concentration which requires attention to detail and high levels of accuracy.  There are a number of deadlines associated with this position, which may cause significant stress.  The employee must also deal with a wide variety of people on various issues. Predictable and regular attendance expected.
